Workflows & staff setup

The guest hears from you at the right moments, without anyone typing.

Confirmation, pre-arrival, check-in, the upsell, the review request, and the staff handoffs behind them. Built for your property and taught to your team.

Everything the front desk does by hand

The confirmation email. The message three days before arrival with directions. The transfer question. The late-checkout offer. The review request after the stay. The list of who arrives tomorrow. In most properties a person does these when there is time, which means some guests get them and some do not.

The guests who do not get them are the ones who call, arrive without a transfer, and leave without reviewing.

The workflows we build

  • Confirmation with the total, the policy, and the next step, on the channel the guest booked on.
  • Pre-arrival: directions, check-in time, transfer and breakfast offers, and the questions the front desk always gets.
  • Abandoned checkout: the guest who started to book and stopped gets one message, with the room still held.
  • In-stay: late checkout and upgrade offers when the room is free, dinner reservations, requests routed to the right person.
  • Post-stay: the thank-you, the review request, and the win-back offer for next season.
  • Staff: the arrivals list each morning, the exceptions that need a person, the handoff from the agent.

Staff setup and training

A workflow nobody on the team understands gets switched off within a month. We sit with the front desk, the manager, and whoever runs the WhatsApp, and walk through what fires when, what they will see, and what to do when a guest replies.

For an opening or a larger property we do this on site, with practice scenarios, before the first guest. See pre-opening.

Made for your property

Every workflow is our own code, so the message, the timing, and the rule are yours. Sending the transfer offer only to guests who land after eight in the evening is a change we make, not a feature you wait for.

One stay, the messages that fire

  1. 1

    Booking confirmed

    Confirmation on WhatsApp

Total, cancellation terms, and a link to manage the stay, on the channel the guest booked on.

  2. 2

    Three days before

    Pre-arrival message

Directions, check-in time, a transfer offer, and breakfast added in one tap.

  3. 3

    Arrival day

    Front desk sees the arrival

Room, guests, transfer booked, special occasion noted. Nothing to look up.

  4. 4

    Day before checkout

    Late checkout offered

Only when the room is free the next night. Accepted: $40 added to the stay.

  5. 5

    Two days after

    Review request

One message with a direct link, and the win-back offer scheduled for next season.

A stay at the demo hotel, from confirmation to the review request. Every message is a template your team can read and change.

Questions operators ask

Will guests know it is automated?

The messages are written in your voice and sent from your number. When a guest replies, a person or the agent answers in the same thread.

Can our team change a message?

Yes. Every message is a template in your dashboard. Timing and rules are changed by us on request, usually the same day.

What does the staff training involve?

Half a day for a single property, on a call or on site. For an opening, on site with practice runs. Afterwards, a written guide for the team and a person to ask.

Which channels do the messages go out on?

WhatsApp where the guest used it, email otherwise, SMS as a fallback.

How do you charge?

A percentage of the bookings made through us, so we only win when you win. Fixed pricing is available if you prefer it.

Map the messages your guests should be getting.

Twenty minutes. We go through one stay at your property and list the moments nobody is covering.
